Pro Vita Care Management Inc. (“Pro Vita”, “we”, “us” or “our”) respects your privacy. This policy explains, in general terms, how we collect, use, disclose, retain and protect personal information in connection with our website, recruitment, workforce administration and business communications.

Information we may collect

Depending on your relationship with Pro Vita, we may collect information such as:

  • name and contact information;
  • information submitted through our website, applications or communications;
  • employment, contractor, qualification, availability and scheduling information;
  • messages, responses, delivery status and timestamps associated with operational communications; and
  • basic website and device information collected through cookies, analytics or security tools.

We seek to collect only information reasonably required for the identified purpose or otherwise permitted by law.

How we use information

We may use personal information to:

  • respond to inquiries and provide requested information;
  • recruit, onboard and administer employees and contractors;
  • manage staffing, shift callouts, availability, schedules, confirmations and operational notices;
  • operate, secure and improve our website and communications systems;
  • meet contractual, legal, regulatory, safety and record-keeping requirements; and
  • carry out other purposes disclosed at or before collection, or otherwise permitted by law.

WhatsApp and workforce messaging

Pro Vita may use WhatsApp and other messaging channels for staffing and workforce communications, including shift callouts, availability requests, scheduling, confirmations, cancellations and related operational notices. These communications may involve your name, telephone number, message content, availability, responses, and message delivery or response times.

Pro Administration Services Inc. may administer communications technology and related business systems on Pro Vita’s behalf. Meta Platforms, Inc. and WhatsApp may also process information as providers of the WhatsApp platform under their own terms and privacy practices. Information processed by these providers may be handled outside Canada and may be subject to the laws of another jurisdiction.

Please do not use WhatsApp to send sensitive medical, banking, government identification, immigration or other confidential HR documents unless Pro Vita has specifically provided an approved process for doing so. If you have concerns about using WhatsApp for workforce communications, contact your Pro Vita representative or privacy@provita.ca to discuss an available communication method.

Consent and employee information

Where consent is required, Pro Vita may obtain consent expressly or rely on consent that is reasonable in the circumstances. In some cases, applicable law permits Pro Vita to collect, use or disclose employee personal information without consent when reasonable for establishing, managing or terminating an employment relationship, provided applicable notice requirements are met. Consent may be withdrawn where legally available, subject to reasonable notice and legal or contractual restrictions.

Sharing information

Pro Vita may share personal information with service providers that support hosting, communications, recruitment, scheduling, information technology, professional advice or business administration. We may also disclose information to clients, public authorities or other parties where reasonably required for an identified purpose, authorized by the individual, or permitted or required by law.

Service providers are given only the information reasonably required for their role. Their handling of information may also be governed by their own privacy terms and applicable law.

Retention and safeguards

Pro Vita uses reasonable administrative, technical and physical safeguards appropriate to the sensitivity of the information. No electronic system or method of transmission is completely secure.

We retain personal information only for as long as reasonably required for the purposes described above and for applicable legal, employment, contractual, safety and business requirements. When those purposes no longer apply, we will destroy the information or remove identifying details as required by applicable law.

Access, correction and deletion requests

You may ask to access or correct personal information about you that is under Pro Vita’s control, subject to applicable legal exceptions. You may also request deletion of information that is no longer required. Instructions are available on our Data Deletion Request page.

Changes to this policy

We may update this policy to reflect changes in our practices, services or legal requirements. The effective date above indicates the latest published version.
